Cargo Conference (ICIC) Ltd - Terms and Conditions
1. Bookings: ICIC reserves the right to refuse and/or cancel any booking (s) as deemed appropriate, subject to article 4 below. All bookings are held in the name of the individual as opposed to the corporate name, regardless of who paid for, or to whom the booking was invoiced. All Substitutions, amendments and/or cancellations requests are subject to article 6 below.
2. Delegate Rate: Prices are shown on the conference website, and may be subject to change at any time. Where applicable all prices shown include VAT.
i) All bookings must accompanied by a valid debit/credit card
ii) All bookings (including extras) must be paid in full in order to guarantee registration. Once payment has been received, an email confirmation and a receipted invoice will be sent.
3. Additional/Outstanding Charges: In the event of the delegate failing to pay in full and upon demand, any additional/outstanding charges due to ICIC or its agents/suppliers, ICIC reserve the right to charge the delegate for additional costs.
4. Substitutions, Amendments and/or Cancellations: All Substitutions, amendments and/or cancellations requests must be made in writing. Substitutions, amendments and/or cancellations to an existing booking can only be made by the individual shown in the booking (i.e. requests by partners, colleagues, and/or employers etc. will not be considered), and are subject to the following:
i) Substitutions: Delegates may nominate a substitute or alternative person from within their organisation to attend, up to 48 hours prior to the start of the event. If a substitution cannot be arranged due to delegate issue, then the registration will be cancelled and a refund payable subject article 2 (ii).
ii) Cancellations: ICIC 2019 Registration Cancellation Policy - Cancellation charges apply as follows:
Cancellation BEFORE 17th May 2019: Delegate incurs a £50 admin charge, deducted from the original registration fee, when refunded.
Cancellation AFTER 17th May 2019: Delegate registration fee will not be refunded
However, a change of delegate name to an existing registration will be accepted at no charge.

5. Alterations to Programme - Cancellation/Postponement of Event:
i) ICIC expressly reserves the right to vary or cancel a conference or any part thereof as they deem appropriate or as necessary.
ii) ICIC reserves the right to make alterations to the conference programme, venue and timings.
iii) In the unlikely event of the programme being cancelled by ICIC, a full refund will be made. Liability will be limited to the amount of the fee paid by the delegate.
iv) In the event of it being found necessary, for whatever reason, that the conference is being postponed or the dates being changed, the organisers shall not be liable for any expenditure, damage or loss incurred by the delegate.
v) If by re-arrangement or postponement the event can take place, the booking between the delegate and the organisers shall remain in force and will be subject to the cancellation schedule as 4 (ii) above.
6. Hotel Room: Rooms are part of the Conference delegate rate on a room only basis – all extras such as dry cleaning etc, are to be paid by the delegate. The Hotel will require the delegate to provide a valid debit/credit card at the time of check in, and charges will be levied against this in accordance with the hotel's own terms and conditions, copies of which are available from the hotel upon request at arrival.
7. Access Requirements: Delegates should advise of any special access requirements at the time of registration.
8. Registration Information: Registration information will be sent to registered delegates by email at least seven days prior to the event. Any delegate not in receipt of the registration information should contact ICIC. by email [email protected]
9. Photography & Filming: For promotional purposes, there may be a professional photographer during the conference. In booking, you accept that your image may be used or reproduced as deemed appropriate by ICIC. Delegates who do not wish to be included on this should advise at the time of booking.
10. Data Protection: By submitting registration details, delegates agree to allow ICIC and companies associated with the conference to contact them regarding services relating to the conference only. Delegates who do not wish to receive such communications please email [email protected]
The contact details of registered delegates will be placed on the attendee list which will be seen only by conference organisers. Delegate names will only appear on badges and Gala Dinner table plans.
11. Websites & Links: The ICIC website may link to other websites and networking tools provided for the convenience of the users. The contents of these websites are maintained by their owners, for which ICIC takes no responsibility. Neither can responsibility be taken for contents of any website linking to the ICIC site.
12. Complaints & Disputes: In the event of a complaint or dispute, please write to: [email protected]
13. Speakers: ICIC will list the speaker’s name and presentation title on the conference website, subject to permission. Presentations and papers including all associated artwork and illustrations will not be circulated, available on the website or in hand out format without written consent from the speaker. Consent to be advised prior to the event
14. Limit of Liability:
To the extent permitted by law, neither ICIC nor its Directors, Executive Committee, speakers or sponsors shall be liable by reason of breach of contract, negligence or otherwise for any damage, injury, costs, direct or consequential losses to any objects whatsoever or to any persons whomsoever, including but not limited to those as a result of or in connection with the organisation of the conference, or caused by any representative or service provider engaged by ICIC, by any delegate, or by third party, including but not limited to damage, injury, costs, direct or consequential losses caused by error or omission in the conference material or presentation of a conference. In any event the liability is limited to the conference fee paid by the specific delegate. Consequential loss shall be deemed to include, but is not limited to any loss of profits or anticipated profits, damage to reputation or goodwill, loss of business or anticipated business, injuries, damages, costs, expenses incurred or payable to any third party or any other indirect or consequential losses
15. Law & Jurisdiction: A completed online booking will constitute a legally binding contract. This contract is subject to English Law and any dispute arising out of or relating to this contract will be brought before the English courts which have exclusive jurisdiction.
